Position Summary
The Administrative Assistant provides administrative and clerical support to the Economic Development Corporation by assisting with daily operations, coordinating projects, maintaining records, and serving as a point of contact for businesses, developers, and the public. This position helps facilitate economic development initiatives, business retention and recruitment efforts, grant administration, and special projects while ensuring efficient office operations and excellent customer service.
Essential Duties and Responsibilities
Provide administrative support to the Economic Development Director.
Answer phones, greet visitors, and respond to inquiries from businesses, developers, property owners, and the public.
Prepare correspondence, reports, presentations, agendas, meeting packets, and other departmental documents.
Schedule meetings, appointments, and events; maintain department calendars.
Maintain confidential files, records, contracts, and project documentation.
Assist with tracking economic development projects from initial inquiry through completion.
Maintain databases of businesses, commercial properties, development projects, incentives, and business contacts.
Assist in the preparation and administration of economic development agreements and incentive programs.
Coordinate with city departments, developers, consultants, utility providers, and community organizations regarding development projects.
Assist with grant applications, reporting requirements, and recordkeeping.
Update department website content, social media pages, and marketing materials as assigned.
Conduct research on demographic, economic, and workforce data to support development initiatives.
Ensure compliance with records retention requirements and applicable state and local regulations.
Perform other related duties as assigned.
Knowledge, Skills, and Abilities
Knowledge of general office procedures and administrative practices.
Knowledge of municipal government operations is preferred.
Familiarity with economic development principles, business recruitment, retention, and incentive programs is preferred.
Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
Excellent verbal and written communication skills.
Strong customer service and interpersonal skills.
Ability to maintain confidentiality and exercise sound judgment.
Ability to establish and maintain effective working relationships with city staff, elected officials, business leaders, developers, and the public.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to learn department-specific software and records management systems.
Requirements
Minimum Qualifications
Associate’s degree in Business Administration, Public Administration, Economic Development, or a related field required.
Minimum of five (5) years of progressively responsible administrative support experience.
Experience in economic development, municipal government, planning, community development, or a related field preferred.
Valid Texas Driver's License or the ability to obtain one within a specified timeframe.
Physical Requirements
Ability to sit for extended periods while working at a computer.
Frequently lift and carry items weighing up to 25 pounds.
Occasionally bend, stoop, kneel, and reach.
Ability to attend meetings, community events, and occasional evening functions as required.
Preferred Qualifications
Experience working in a municipal government or Economic Development Corporation (EDC).
Knowledge of local government purchasing, budgeting, and records management.
Experience coordinating grants, incentive agreements, or community development projects.
Familiarity with the Texas Open Meetings Act and Public Information Act.
