The City of Sugar Land is seeking a full-time Agenda & Public Meeting Coordinator in the City Clerk's Office.
The Agenda & Public Meeting Coordinator plays an important role in supporting transparent and efficient City operations. As part of the City Clerk’s Office, this position works closely with City departments to ensure agenda items are accurate, timely, and ready for public meetings.
The coordinator supports all City boards and commissions and manages key aspects of public meetings, including presentations, live streaming, electronic voting, and audio-visual recording. This role also ensures meeting information is properly recorded, published, and archived, helping maintain accessibility and public trust in the City’s decision-making process.

As a Agenda & Public Meeting Coordinator, you will:
Manages the agenda process for all Boards and Commissions. Acts as the liaison between the City Clerk’s Office and the Boards and Commissions Department Liaisons regarding the agenda process.
Develops, implements and maintains the interdepartmental policy for the Boards and Commissions agenda process. Supports ongoing training efforts with departments and offices concerning the agenda item preparation process and software. Continuously monitors and provides feedback regarding the City’s agenda coordination process including recommendations for internal process improvements, as needed.
Coordinates agenda review meetings with the Board Liaisons to determine importance and priority of agenda items, as needed. Ensure that all documents are in proper order and distributes final approved agenda.
Collaborate with various City departments to schedule public meetings, including City Council sessions, board meetings, and public hearings, ensuring compliance with legal requirements and accessibility for all attendees.
Prepare and disseminate public notices in accordance with open meetings laws and City regulations.
Facilitate public participation, manage speaker registration, and provide information to citizens regarding meeting procedures.
Attend all public meetings in the City Council Chamber, coordinate with departments for meeting presentations, and manage streaming video files employing HTML.
Work as an essential employee before, during, and after emergencies or disasters.
Perform other duties and tasks as assigned by the Director or their designee(s).
Requirements
Education:
Associate degree in Information Technology, Systems Management, Records Management, or a related field. Bachelor’s degree.
Relatable Work Experience:
At least 2 years of experience troubleshooting Windows-based computers and common office software.
Experience creating and documenting technical procedures and instructions, and working with audio/visual equipment, systems, and agenda or records management software.
Experience working in a municipal or government environment preferred
Equivalent education, training, or work experience may be considered in place of the formal degree requirements if it provides the necessary skills.
License and/or Certification:
Valid Texas Driver License
Texas Notary Commission (must be eligible to become a Texas notary)
Texas Municipal Clerk's Certification (preferred)
