Under direction of the Warehouse Supervisor, the Assistant Warehouse Supervisor assists in supervision and daily operations of a multi-million-dollar electric, water, wastewater, and office warehouse inventory with focus on purchasing and financial operations; coordinates the procurement of inventory and non-inventory material for the Utility Warehouse; and assumes supervisory role in the absence of the Warehouse Supervisor.
Principal Duties
Assist in training and supervising warehouse employees. Assume supervisory role, approvals, and assignments in the absence of the Warehouse Supervisor.
Gather and develop specifications and provide data to generate unencumbered contracts for the purchase of inventory and non-inventory material. Coordinate with Vendors and Purchasing Department as Subject Matter Expert (SME). Complete the requisition of materials against unencumbered contracts.
Receive, inspect, verify, track, maintain, kit, and issue inventory and non-inventory materials. Interact with crews to ensure the appropriate materials are issued and returned in a timely manner.
Ensure Warehouse and College Station Utilities (CSU) grounds are maintained in an organized and safe condition.Responsible for compliance with prescribed operating and safety standards and requisitioning processes.
Perform routine counts on inventory and create weekly reorder reports for each of the four warehouses. Send reorder reports to Purchasing Department.
Responsible for the receipt and review activities of the Request for Proposal (RFP) process to include, receiving and reviewing proposals, vendor bid tabulations and accurate awarding of purchase orders to winning vendors.
Maintain relationships with vendors and ensure purchase orders are executed within terms of contract or bid, including rendering efficient and prompt delivery service times and accurate invoicing.
Maintain relationship with Engineering and Design Division to ensure material specifications are up-to-date and that vendors’ bids are to specifications.
Provide interdepartmental training of requisition and receiving software and processes.
Review, track and coordinate the processing of complex invoices in collaboration with the accounting department in efforts to ensure accurate and efficient invoice management.
Coordinate the proper disposal of obsolete material.
Perform other duties as assigned.
Requirements
Qualifications
Required: High school diploma or GED equivalent and two (2) years technical training in a field related to area of assignment or, an equivalent combination of education and experience
Valid Texas driver license
Knowledge of purchasing procedures, product descriptions, and specifications
Knowledge of inventory control
Basic computer skills
Ability to operate a forklift or ability to obtain the skill within three (3) months of date of hire
Available for emergency response. Must maintain a residence within a 40-minute response time of the Utility Service Center within 6 months of accepting position
Preferred: Skilled in forklift and backhoe operation
