Description
- This dual-role position is responsible for providing confidential administrative support to the Chief of Police and managing all police records in compliance with local, state, and federal requirements. The ideal candidate will be professional, discreet, and capable of handling a fast-paced law enforcement environment.
Requirements
Administrative Assistant Duties:
- Serve as the primary administrative support to the Chief of Police.
- Manage calendars, appointments, correspondence, and departmental communications.
- Prepare reports, agendas, memos, and confidential documents as directed.
- Maintain accurate and organized administrative files.
- Assist with tracking training, certifications, budget, and compliance documentation.
- Coordinate meetings, take minutes, and facilitate communication between the Chief and staff.
- Handle sensitive information with discretion and confidentiality.
- Department event coordination.
- Perform other duties as assigned by supervisory personnel.
- Represent the agency as CJIS Administrator
Records Clerk Duties:
- Maintain all police records, including incident reports, arrest records, citations, and accident reports as applicable.
- Ensure accurate entry, retention, release, and destruction of records in accordance with TCOLE, Texas Public Information Act, and department policy.
- Respond to public records requests and coordinate with City Hall or legal counsel when necessary.
- Assist officers, detectives, and administrative personnel with records searches and document retrieval.
- Prepare monthly statistical reports and maintain compliance logs.
- Submit National Incident-Based Reporting System (NIBRS) data as required.
- Perform other duties as assigned by supervisory personnel.
