Description
- As the Development Services Department Administrative Assistant, this role performs a variety of general clerical and technical
duties for the Development Services Department with limited supervision. Responsibilities include,
but are not limited to, assist customers, prepare reports, maintain files and maps, track projects and
perform research

DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS: (Individual duties, assignments and responsibilities
required of the position)
- Greets and assists the public at the counter, by phone and email. Provides general information
regarding development services, licenses, permits, building codes, etc. - Provides resources and information to the general public, local businesses, professionals, state &
federal agencies, other departments and staff members regarding planning, zoning, subdivision,
building and other department activities. - As assigned, attends official Board and Committee meetings; writes and maintains the official
records; prepares public notice signage - Prepares public notices for mailing and publication.
- Review and accept incoming applications through MyPermitNow.org and assign for plan review
and assign inspection requests, as needed. - Develops and maintains demographic data through MyPermitsNow.
- Organizes and directs the filing and retrieval system of maps, plats, documents, and records.
- Schedules added building, mechanical, plumbing, electrical and safety inspections daily.
- Prepares cash receipts, daily cash reports and deposits.
- Maintains computerized and manual files and records of inspections, permits, correspondence,
bonds, and certificates of insurance in accordance with state records management statutes. - Reports inspection clearances with appropriate utility company.
- Notarize documents for city officials, the public and employees.
- Maintains contractor literature packets and information.
- Summarize minutes for the Board of Adjustment, Building and Standards Commission and the
Planning and Zoning Commission. - Compile monthly and yearly reports for the department.
- Issues various inspection permits, health permits and licenses, calculate and collect fees, updates
computer files and maintains documentation. - Acts as liaison between department, public and contractors.
- Provide clerical assistance for different departments when needed.
- Performs related duties as required or assigned.
EDUCATION AND EXPERIENCE: (special training, certifications, college degree, etc.)
- High school graduate or equivalent, plus a minimum of three (3) years of office experience as a
planning, zoning, or building technician. - College graduate with a minimum of one (1) year office experience as a planning, zoning, or
building technician. - Any combination of experience, education and training which provides the required knowledge
and skills.
LICENSE AND CERTIFICATION REQUIREMENTS:
- Notary Public Commission Certificate
KNOWLEDGE, SKILLS, AND ABILITIES: (technical, communication, interpersonal, etc.)
- Ability to effectively assist public
- Prepare reports and correspondence neatly and professionally
- Operate a variety of office machines including copier, scanner, and fax machine
- Operate a computer using Microsoft Office; type 30 words per minute accurately
- Operate web-based program MyPermitsNow; organize facts and present them in a clearly written
or graphic form - Interpret ordinances and resolutions
- Establish and maintain effective working relationships with co-workers, public, developers,
consultants, and outside agencies - Maintain necessary certifications
- Knowledge of city development ordinances, data collection methods and techniques
- Records management; planning, zoning, building terminology and basic practices.
