Description
Answer and screen in-coming calls and routes callers or provides information as required; follows up on departmental action. Provide customer service. Receive the public and answers questions; respond to inquiries from employees, citizens and others and refers, when necessary, to appropriate persons.
Accept and receipt monies. Assist in the procurement of department materials and supplies; and assist in obtaining a credit or refund for returned or warranted inventory. Input, maintenance, close out, and follow up with customers on the status of work orders; also provide work order reports for department Supervisor. Receive, stamps, and distributes incoming mail, processes outgoing mail.
Compose, types, and edits a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy, and completeness. Create forms, documents, and flyers for department. Responsible for efficient and safe operation, care and appearance of assigned equipment.
Ability to meet deadlines and work well under pressure. Act as custodian of departmental documents and records. Establishes and maintains filing system. Organized and use moderate independent judgment.
Schedule appointments for supervisors, employees, Directors, as directed. Abides by all policies, procedures, and rules established by the personnel policy and department policy. Perform special assignments as appropriate to assigned area. Perform data input of standard office forms and complies tabulated data for various reports.
Input data in the Incode computer programs for building permits, cash collections, and accounts receivable. Input data in Cityworks for work orders. Perform data input in Time Clock Manager and perform payroll duties for department. Perform monthly Accounts Receivable billing duties.
Complete monthly and quarterly department reports for Director. Maintain personnel records and vacation/sick leave records for department. Reconcile daily deposits. Prepare Purchase Requisition, Purchase Order Request, and other miscellaneous forms for department. Perform accounting duties for department. Assign general ledger account codes to all invoices and maintain and reconcile monthly department budget records.
Requirements
Must pass a medical physical examination and drug test. Must pass a criminal background check. High School diploma or GED. Valid Class C Texas State Driver's License and safe driving record.
