Job Summary:
Under general supervision, the Municipal Court Clerk performs a variety of clerical and administrative duties to support the operations of the Municipal Court. Responsibilities include processing citations, collecting fines, preparing court documents, and providing administrative support to the Municipal Court Judge and Court Administrator. This position is vital to ensuring accurate court records, timely communication with stakeholders, and consistent application of court procedures.
Minimum Qualifications:
Education: High school diploma or GED equivalent.
Experience: Two (2) years of clerical or bookkeeping experience, preferably in a court or legal setting.
Licenses/Certifications: Level I Court Clerk certification, or ability to obtain within the first two (2) years of employment.
Essential Job Functions:
Processes new tickets and offenses and prepares associated case files.
Collects fine payments and balances cash drawer and cash bonds daily.
Prepares and sends out court notices, including Fail to Appear, Show Cause Hearings, and jury summons.
Schedules trials, hearings, and other court proceedings.
Prepares and maintains warrants, complaints, judgments, and other legal documents.
Sends conviction data to the State and processes appeals and defensive driving requests.
Responds to public inquiries via phone or in person, providing information and assistance regarding court procedures.
Maintains accurate filing and archiving of court records in compliance with retention schedules.
Performs records research and responds to records requests.
Performs other related duties as assigned.
Knowledge of:
Legal terminology, court procedures, and court documentation requirements.
Clerical and administrative processes including recordkeeping and cash handling.
Applicable laws and regulations, including Texas criminal and traffic laws.
Customer service principles and effective communication techniques.
City policies and procedures.
Skills in:
Organizing, prioritizing, and executing multiple tasks with accuracy and efficiency.
Using office equipment and computer software including Microsoft Office, Court Specialist, and New World.
Communicating effectively and professionally with the public, coworkers, and legal personnel.
Processing payments and balancing financial transactions accurately.
Exercising sound judgment and maintaining confidentiality.
Physical Demands/Work Environment: Work is performed in a standard office environment with low to moderate noise level. Subject to sitting for an extended period, standing, walking, bending, reaching, kneeling, and lifting and putting away such items as records and office supplies of light weight of up to 25 pounds. Working with a wide variety of people, experiencing different levels of emotions.
