Description
Position Summary
The Records Management Clerk performs clerical and administrative work in the organization,
maintenance, retrieval, and disposition of official city records. This position ensures compliance
with city, state, and federal records retention policies while providing support to staff and the
public in accessing and managing information.
Requirements
Essential Duties and Responsibilities
Organize, file, and maintain city records in physical and electronic formats.
Retrieve, review, and distribute records upon request from city staff or the public.
Assist with records retention and disposal according to city policies and state law.
Index, scan, and maintain electronic document management systems.
Prepare records for archiving, microfilming, or destruction in accordance with retention
schedules.
Respond to public records requests in compliance with state public information laws.
Maintain confidentiality of sensitive or restricted information.
Assist in training city staff on proper records handling and filing procedures.
Maintain logs and reports of records transactions, requests, and disposition.
Perform other duties as assigned.
Qualifications
Education & Experience
High school diploma or GED required; associate’s degree in business administration, records
management, or related field preferred.
One (1) year of clerical, records management, or administrative experience preferred.
Familiarity with electronic document management systems and office software.
Knowledge of city, state, and federal records retention policies preferred.
Knowledge, Skills and Abilities
Knowledge of records management principles and filing systems.
Ability to maintain organized records and accurately track documentation.
Strong attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.
Strong interpersonal and customer service skills.
Proficiency in Microsoft Office and database management systems.
Ability to follow written and verbal instructions.
Bilingual skills are a plus.
Licenses & Certifications
Possession of valid driver’s license.
