Description
Administrative Duties
Maintain and organize official city and court records
File, scan, and manage records in compliance with retention laws
Process incoming and outgoing mail
Court-Related Duties
Process citations, warrants, and court cases
Schedule court dates and coordinate dockets
Collect fines, fees, and payments
Assist the judge, prosecutor, and attorneys during court sessions
Prepare court reports and submit required state filings
Financial Duties
Receive and post payments (citations, permits, etc.)
Enter invoices and manage accounts in systems like QuickBooks
Reconcile daily receipts and prepare deposits
Customer Service / Public Interaction
Answer phones and respond to emails
Assist residents at the front counter or service window
Provide information on citations, court procedures, and city services
Requirements
Requirements:
High school diploma or equivalent required; associate degree or higher preferred
Prior experience in clerical, administrative, or municipal/court setting preferred
Knowledge of basic accounting practices and experience with software such as QuickBooks Online is a plus
Proficient in Microsoft Office (Word, Excel, Outlook) and general computer skills
Strong organizational skills and attention to detail
Ability to handle multiple tasks and meet deadlines in a fast-paced environment
Excellent customer service and communication skills, with the ability to interact professionally with the public
Ability to handle confidential and sensitive information with discretion
Knowledge of municipal court procedures, citations, and records management is a plus
Must be dependable, punctual, and able to work independently as well as part of a team
